Faculty Participation Support Program in International Conferences
Introduction:
In alignment with the strategic goals of King Saud University aimed at achieving global leadership in scientific research, and in line with the Scientific Council and the Vice-Rectorate for Graduate Studies and Scientific Research’s commitment—represented by the Deanship of Scientific Research—to encourage faculty members’ participation in scientific conferences, the Deanship of Scientific Research is pleased to announce the launch of the “Faculty Participation Support Program in International Conferences.”
The program aims to encourage faculty members to actively participate in international conferences, engage with global researchers, exchange expertise, establish scientific partnerships, and discuss the outcomes of their research.
Program Objectives:
- Encourage faculty members to engage with the international research community.
- Support faculty members in showcasing their scientific contributions.
- Stay informed about the latest developments in knowledge and scientific research.
- Explore leading companies in the scientific research equipment and supplies industry.
- Discuss current and future research ideas with peers and experts.
- Build knowledge networks and communicate with specialists in the faculty member’s field.
- Establish interdisciplinary partnerships and collaboration among researchers from various fields.
- Explore opportunities for international research funding.
- Understand academic and research systems in various universities.
- Develop skills in organizing international conferences.
Program Outcomes:
- 500 scientific participations in the form of posters or presentations at international scientific conferences.
- Media reports highlighting the role of the university’s faculty in international forums.
- Development of a database of international conferences with evaluation of their impact and benefit.
Program Conditions:
A) Applicant Requirements:
- Priority is given to Saudi male and female researchers to ensure program goals and national capacity-building.
- The applicant must have an official letter from the conference confirming the acceptance of their scientific contribution, either as a lecture or a poster.
- The applicant’s specialization must be relevant to the conference topic.
- The applicant must correctly list their affiliation with King Saud University.
- The scientific paper must not be used in more than one conference, nor should its content have been previously published in any journale.
- The applicant must be proficient in the language of the conference.
- The scientific participation must include the names of all members of the research team. The presentation should be delivered by the principal investigator or one of the officially authorized team members.
- The applicant must have published two papers in the past calendar year in reputable journals indexed in Web of Science (WOS) for scientific and health fields or Scopus for other disciplines.
- The applicant must not have an existing research project that includes travel or conference attendance in the same year.
- The applicant must not be a full-time consultant, on sabbatical, academic leave, or administrative assignment, and must not be on exceptional leave.
- Department (or equivalent) approval must be obtained, along with any additional required approvals. Conference participation should not exceed 20% of the department’s faculty at one time, except during summer break.
- The applicant must comply with all university regulations and procedures.
B) Conference Requirements:
- The conference must have an official website listing the scientific committee, keynote speakers, schedule, and conference topics.
- The conference must have been held regularly over the past ten years. Exceptions may be made for conferences organized or co-organized by universities ranked in the top 200 in the Shanghai Ranking or conferences focused on emerging scientific trends such as applications of artificial intelligence in other sciences.
- The conference sessions must be held over at least two consecutive days.
- The conference’s scientific activities must not be conducted exclusively online.
- The conference dates must not conflict with the university's exam periods.
- For conferences held in non-Arabic-speaking countries, the official language must be English.
- Preference is given to conferences that regularly publish proceedings or abstract books.
- The conference topic must fall within national research priorities and must not conflict with the scientific or national directions of the university.
- The conference must not be held in the applicant’s country of origin, unless the applicant is a Saudi national.
Application Procedures:
- Complete all required forms and submit all documents to the Deanship at least 40 days before the conference date.
- Obtain approval from the department council or department head.
- Sign a project agreement with the Deanship of Scientific Research.
- Submit a report detailing the conference and its outcomes.
- A completion certificate will be issued for the project.
- Financial entitlements will be disbursed after completing all procedures and requirements.
Notes:
- Conferences held after the end of February 2026 or those that do not meet program requirements will not be considered.
- Incomplete applications will not be reviewed.
- A maximum of two applications is allowed per applicant, and selection will be based on a competitive evaluation process.
Application Period:
The application period is open until the end of October 2025. Priority will be given to complete applications based on submission order.
